My Availability Submissions

What you see here: every availability email you sent us, what FMI's system extracted from it, and which lines are live on the marketplace right now.

You don't need to approve anything here. This view is for transparency β€” so you can confirm what FMI received matches what you sent. If you spot a problem, email your buyer.
βœ“ Preferred email format (click to expand)

Following this format guarantees that every product line from your email becomes a row in our system. Mixing in unusual formatting (PDF tables, image attachments, conversational text between rows) can cause some lines to be skipped.

Structure:

  1. Subject line: include "availability" and the date (e.g. "Mystic Flowers Availability June 10").
  2. Plain text body β€” not HTML tables, not attached images.
  3. Section header in ALL CAPS for each category (e.g. ROSES, HYDRANGEAS, HYPERICUM).
  4. One product per line, no blank lines between rows in the same section.

Line format β€” Option A Β· per-line pricing (BEST for mixed categories):

<qty> <box> x <stems_per_box> <variety> [size] [price]

Examples WITH price (per stem):
3 qb x 150 Mini Gerb Pink 0.45
1 Eb x 25 Hydrangea Trophy Hot Pink Magical 1.80
6 qb x 150 Hypericum Glazed White Magical 60cm 0.30
12 hb x 100 Rose Blizzard 70cm 0.26
1 qb x150 Hypericum Red 55cm 0.22 ← spacing flexible
2 hb x 100 Spray Rose Bombastic 50cm 0,18 (Monday) ← comma decimal + ship day OK

Examples WITHOUT price (FMI will suggest based on history / industry baseline):
3 qb x 150 Mini Gerb Pink
1 Eb x 25 Hydrangea Trophy Hot Pink Magical

Field guide:
  qty β€” number of boxes (e.g. 3, 12, 32)
  box β€” qb=quarter, hb=half, Eb=eighth, fb=full
  stems_per_box β€” total stems in the box (e.g. 150, 100, 25)
variety β€” full product name; color words are auto-detected
  size β€” optional, "60cm" or "55cm" format
price β€” optional, per-stem cost ($0.18 or 0,18 both work)

Line format β€” Option B Β· size-priced block (BEST for rose-only sections):

ROSES FOB ECUADOR
40cm 0,18 ← price by size (top of section, comma decimals OK)
50cm 0,20
60cm 0,24
70cm 0,26
80cm 0,28

1hb Blizzard 40cm ← variety rows below (no inline price)
12hb Explorer 60cm ← cost auto-applied from size table
8hb Candlelight 40cm
32hb Freedom 50cm

Option C Β· CSV / Excel attachment (if you already have a spreadsheet):

Required column headers (exact spelling, any order):

category, variety, size, color, qty_boxes, box_code,
  stems_per_box, stems_per_bunch, cost, uom

Example rows:

  category,variety,size,color,qty_boxes,box_code,stems_per_box,stems_per_bunch,cost,uom
  Roses,Blizzard,40cm,White,1,hb,100,10,0.18,bunch
  Roses,Explorer,60cm,Red,12,hb,100,10,0.24,bunch
  Hydrangeas,Trophy Hot Pink Magical,,Pink,1,eb,25,5,1.80,bunch
  Hypericum,Glazed White Magical,60cm,White,6,qb,150,10,0.30,bunch

Attach the .csv or .xlsx to your email. The parser reads attachments before
the email body, so it'll grab the spreadsheet first if both are present.
Don't include a price? No problem. FMI auto-fills empty costs using:
  1. The median of your last 30 days of pricing for the same variety
  2. The median of the same category across all farms
  3. An industry baseline + seasonal multiplier (Valentine's, Mother's Day, Women's Day)
You'll see the suggested cost in the buyer's review screen and can correct it any time.

Things that cause lines to be skipped:

  • Photo/screenshot of inventory instead of typed text or CSV
  • Tables pasted from Excel that lose their column structure when sent (attach the actual file instead)
  • Multiple pricing or qty values mashed together ("10/15 boxes available" β†’ unclear which qty wins)
  • Section headers in mixed case ("Mini Gerbera" may not be recognized as a section break β€” prefer MINI GERBERA)
  • Long sentences explaining the inventory between rows

Need help? Forward a sample of your current format to your buyer; if it's a recurring pattern, FMI can teach the parser to recognize it.
